Administrative Office Assistant (Seasonal)

Compensation & Benefits:
• Hourly Rate: $19.00 per hour.
• Overtime: Overtime hours are available February – April and are paid at $28.50 per hour (1.5x base rate) for hours worked over 40 in a workweek.
• Raises: Opportunity for performance-based pay raises.
• Benefits: Paid Time Off (PTO) accrual begins on day one at a rate of .0462 hours, per every hour worked. No medical, dental, or retirement benefits are provided for this seasonal position.
Job Schedule:
• In-Office position: 2712 McGraw Drive, Bloomington, IL
• Duration: September 1st through May 30th
o Part-time (September – January): 25 hours per week.
o Full-time (February – May): 40 hours per week.
o Daily Schedule: 8:00 am to 4:00 pm, Monday through Friday, with the opportunity for additional hours, as needed.
Full Job Description:
We are seeking a reliable and detail-oriented candidate to assist with the day-to-day processes and operations of our accounting firm during our busy season. In this role, the applicant will be responsible for performing a wide range of clerical and organizational tasks, providing a range of administrative support to our team members, and assisting clients and office visitors.
We are looking for someone who thrives in a fast-paced environment, with the ability to multi-task, ensuring daily operations are organized, efficient, and run smoothly. A key objective in this role is to support productivity and order, ensuring the office, our staff, and our clients operate at peak performance and efficiency. Requires the ability to contribute to a positive office culture and client experience.
Essential Duties and Responsibilities:
• Answer and direct phone calls politely and efficiently.
• Monitor and promptly respond to office emails.
• Assist clients in person and over the phone.
• Check-in client tax returns and sensitive source documents.
• Assemble completed tax returns.
• File and organize client documents.
• Perform various administrative and office support tasks as assigned.
Qualifications and Competencies:
• High school diploma or equivalent certification.
• Proficiency with Microsoft Office products (Word, Excel, Outlook).
• Working knowledge of office equipment (printers, scanners, and fax machines).
• Self-motivated, dependable, and able to work effectively under seasonal pressure.
• Excellent critical thinking, problem-solving, and organizational skills.
• Strong verbal and written communication skills with keen attention to detail.
• High levels of honesty, discretion, and professional integrity.
Physical Demands:
• Must be able to comfortably navigate, lift, and organize physical client files within our on-site file storage room.
